Immigration Requirements / Visas

Visas are required for all participants traveling to Belgium, except for citizens of the European Union and selected countries in Visa Shengen member states. Participants from countries with Belgium diplomatic missions are required by the Belgian immigration authorities to secure their visas from those missions. Participants from such countries must obtain a visa through the Belgian Diplomatic Mission before departure. These include holders of diplomatic and service passports as well as United Nations Laissez-Passez.

Please contact your nearest Embassy for a visa, as these are issued at discretion of the relevant Authorities. The Belgian Authorities do not issue Visas at the airport or ports of entry. Health certificates are not required for entry, but valid travel insurance may be required during visa application process or prior to entry – please check with your nearest Embassy or Travel Agent. Please allow for 2-5 weeks for Visas. A letter for Visa purposes will be issued by the Global NGO Council only on completed registration form, and receipt of payment for the event. For Visa letters please contact us at  visa@globalngocouncil.org or Eleanor Mends at  emends@globalngocouncil.org.

All foreign currency in your possession should be declared on the blue currency declaration form upon arrival at Belgian ports of entry. There is no limit to how much you can bring into the country. Belgian currency is denominated in “Euro.” The bank rate of exchange varies. Currency changed into Euro at local banks or registered bureau de charge may be reconverted only at those banks, and not exceeding the originally converted amount. Credit cards are generally accepted at all major hotels and restaurants in Brussels. It is also therefore advisable to carry other means of exchange (traveler cheques) and adequate local cash.

Registration and identification badges

Participants are required to register and obtain identification badges prior to the opening of the Conference. Also kindly carry your invitation letter and personal identification for on-site accreditation. For identification and security reasons, identification badges should be worn by all participants at all times.

Airline Reservations

A number of international airlines operate to and from Brussels. It is required that international participants secure their return/onward air passage prior to their arrival. There will be travel agencies on site at the venue to assist with re-confirmation of tickets and to provide participants with travel and tour-related information.

Hotel Accommodation

Arrangements have been made by the Conference organisers to book accommodation for participants at their expense in various hotels, closer to the venue. Participants who wish to avail themselves of this service at the Global NGO Council preferential rates are required to complete the relevant section of the registration form and forward it no later than February 28, 2019 or reserve, directly quoting the events name to obtain special rates.

Media/Press Accreditation
